I. General Summary
Under the supervision of the Chief Legal & Risk Officer and/or legal counsels, the paralegal assists in the legal review of leases and ensures compliance with business permit and insurance requirements. He/ She prepares, archives, and monitors documentation pertaining to leases, insurance, gym management service agreements and other transactions that may be entered into by the business.
The purpose of this role is to assist the Chief Legal & Risk Officer and/or legal counsels:
- review, prepare and finalize lease agreements and their renewal;
- manage insurance requirements and liaise with internal stakeholders and insurers or brokers on insurance claims;
- monitor business permit applications and ensure timely submission of requirements;
- ensure all needed gym management services agreement are in place for corporate clubs in all markets
II. Qualification Requirements
- A bachelor’s degree in the arts or sciences
- At least four-year experience in paralegal work
- Proficient in English and MS Office
- Above average organizational and communications skills
III. Duties and Responsibilities
- Ensures that all group companies comply with corporate secretarial requirements in all markets and corporate housekeeping requirements are met; draft DRIWs and MRIWs for all group companies in the regular course of business and circulate the same upon the approval of legal counsel for signature;
- Reviews based on a preapproved checklist of standard terms or prepares standard form agreements; confirms with the legal counsel in-charge that all departmental commercial approvals have been secured from decision-makers prior to recommending release of documentations for execution; secures name, designation, and email address of the counterparty’s representative; confirms the execution of documents to key stakeholders; ensures that all executed documents are properly recorded and archived;
- Conduct legal research and prepare legal memoranda on new or amendatory regulatory laws and applicable jurisprudence as needed by the legal counsel-in charge, for the understanding of possible impacts on current property management rules and regulations;
- Build relationships with internal and relevant external stakeholders and deliver excellent client service;
- Manage any additional tasks and responsibilities associated with the provision of legal & regulatory compliance services to the business units (including company secretarial work) as may reasonably be required to meet the demands of the position and the needs of the business;
- Manage communications with the different departments within the IBA network to ensure that requests for the issuance of corporate documents, director affidavits, intercompany contracts, letters, and other forms of agreements and facilities are accurately endorsed to the legal counsel-in charge;
- Maintain databases for the monitoring and updating of corporate insurance, national and local government registration and licensing, lease-related agreements, and other property-related transactions;
- Provide preliminary general legal or administrative guidance on documentary requirements necessary for the purpose of filing the necessary business permit application and/or licensing forms, notification and processing of insurance claims, as well as securing the required funding from Finance.
